Onplana in Teams adoption toolkit

You do not need to be an admin to bring Onplana into your team’s Microsoft Teams. This toolkit gives a champion, anyone who wants their team planning and tracking work inside Teams, everything to make it happen: a short pitch you can forward, an email to ask IT to allow the app, an email to announce it to your team, and a checklist to get everyone onboarded.

Everything here reuses the two Teams guides, so link them rather than rewrite them: Use Onplana in Microsoft Teams for users, and Deploy Onplana for Microsoft Teams for your IT admin.

The pitch (forward this)

Onplana brings project and portfolio management into Microsoft Teams.

  • Your work as Teams tabs. Dashboard, Projects, and Governance open as personal tabs, and you can pin a specific project board to any channel or chat.
  • One app, across Microsoft 365. The same tabs also open in Outlook and the Microsoft 365 app, and on your phone in the Teams mobile app.
  • Ask Microsoft 365 Copilot. Ask in plain language what is assigned to you, what is overdue, or for a status summary, and Copilot answers from your live Onplana data.
  • Automatic Microsoft sign-in. It signs you in with the Microsoft account you already use in Teams. There is nothing to provision.
  • Free on every plan. The app is included on every Onplana plan, including Free. Your plan decides which features you see, exactly as in the browser.
  • Moving off Microsoft Project Online? It retires September 30, 2026. Onplana imports your .MPP, XML, and Project Online schedules, keeping dependencies and milestones intact, and puts the result inside Teams.

Email your IT admin to allow the app

If your organization blocks third-party Teams apps by default, a Teams or Global administrator has to allow Onplana once (it is a one-step change). Send them this, with the deployment guide attached so they can review the security details themselves.

every plan and signs in with our existing Microsoft accounts.


It's built for least-privilege access: the Teams app uses Microsoft single
sign-on only and requests no standing access to mailboxes, files, or directory
data. Onplana has completed Microsoft Publisher Attestation and runs on Azure.

Email your team to get started

Once the app is available, announce it and point people to the user guide so they know what the tabs do.

1. In Teams, open Apps in the left rail, search for "Onplana", and select Add.

2. Open it. The Dashboard, Projects, and Governance tabs appear across the top.
   The first launch signs you in with your Microsoft account automatically.
3. You can also pin a project board to our channel: select + on the tab strip,
   choose Onplana, and pick the project.


You can even ask Microsoft 365 Copilot things like "what's assigned to me" or
"give me a status summary of [project]".

Onboard your team in three steps

  1. Pilot with a few people. Have two or three teammates add the app, pin a real project to your channel, and use it for a week. Confirm the tabs and sign-in work the way you expect.

  2. Pin it and share the guide. Ask your admin to pin Onplana in a Teams setup policy (pinning measurably lifts adoption), and send the team email above with the user guide.

  3. Widen it out. Once the pilot is happy, invite the rest of the team and move your active projects in. If you are coming from Microsoft Project, use the import wizard at app.onplana.com/migrate.

FAQs

Do I need to be an admin to start? No. If your organization already allows third-party Teams apps, you can install Onplana yourself and announce it with the team email. If not, send the IT email to have it allowed once.

Does it cost anything? No. The app is free on every Onplana plan, including Free. Each person’s plan decides which features they see.

Does everyone need an account? Yes. Each teammate signs in with their own Microsoft account and sees only their permitted view. A free account is created automatically on first sign-in.

Will it work on our phones? Yes. The tabs render in the Teams mobile app. Complex views like the Gantt chart are more comfortable on a larger screen.
