Group projects into portfolios

Business plan Portfolio Manager

A portfolio is a curated group of projects with its own health rollup. Where the Projects page lists everything you can access, a portfolio answers a different question: how is this slice of the company doing as a whole? Each portfolio shows a RAG status (Red, Amber, Green) rolled up from the projects inside it, so a delivery lead or executive reads the state of twenty projects in one glance.

Portfolios are available on Business and above. Creating and managing them requires the portfolio management permission, which defaults to Portfolio Manager and above and can be tuned in the permissions matrix.

Create a portfolio

  1. Open Portfolio Manager from the sidebar.

  2. Select New portfolio, give it a name and an optional description, and save. You become the portfolio’s owner.

  3. Add projects. A project can belong to more than one portfolio, so a client portfolio and a this-quarter portfolio can share projects without conflict.

Read the health rollup

Open Portfolio in the sidebar for the RAG overview. Each portfolio summarizes the health of the projects it contains, so it works as the Monday-morning view: drill into a project only when its light is not green.

Who can do what

  • Create and edit: anyone with the portfolio management permission (Portfolio Manager and above by default, configurable in the permissions matrix).
  • Delete: the portfolio’s owner, or an org Owner, Admin, or Portfolio Manager. Deleting a portfolio never deletes the projects inside it; it removes the grouping only.

FAQs

How is a portfolio different from tags or the Projects page? Tags label individual items and the Projects page is a flat list. A portfolio is a managed grouping with its own health rollup and an owner, built for oversight rather than navigation.

Can one project sit in several portfolios? Yes. Grouping is many-to-many, so views by client, by quarter, or by division can overlap freely.

Do portfolios change who can see a project? No. Portfolios are a reporting layer. Project access is still governed by project membership and organization permissions.

Which plan includes portfolios? Business and above. On lower plans the portfolio pages show an upgrade notice.
