Understand your AI token budget

Every AI feature, chat, plan generation, risk detection, agent activity, consumes AI tokens. Your organization’s tokens work like a prepaid balance, not a metered bill: you can never be surprised by an AI invoice.

What your plan includes

Paid plans: a monthly allowance

On Professional, Business and Enterprise, your organization gets a fresh AI allowance every calendar month, sized by your plan and your number of billable seats. Unused tokens do not roll over: the allowance resets to its full size at the start of each month. Adding seats raises the allowance from then on.

Free: a one-time bonus

The Free plan includes a one-time AI token bonus, a starting balance to use the AI features for real before deciding how much AI your team needs. It does not renew monthly and does not expire; it simply depletes as your team uses AI features.

Trials and complimentary plans also get a one-time allowance rather than a monthly one. If your organization already holds a one-time grant from before the monthly allowance began, it stays on your account and is used.

Earned credit for inviting colleagues

On a Free or trialling workspace, the People page may show Invite a colleague, get an AI lot when they start working. While it does, the workspace earns one lot of 200,000 AI tokens for each colleague someone invites who joins as a member (not a guest) and works on a project they share on two different days within 14 days of accepting. Each inviter earns one lot, and a workspace earns at most four. A lot lands as one-time credit on the Billing tab, does not expire, and arrives with a Referral credit notification that opens the Billing tab. See Invite your team.

See your balance

1. Open Organization Settings and go to the Billing tab.
2. The AI tokens card shows your remaining balance. On a paid plan it shows this month’s allowance; on Free it shows what is left of the one-time bonus.

Buy more tokens

Owners and admins can top up the balance directly from the app:

1. Open Organization Settings → Billing and select Buy AI credit on the AI tokens card.
2. Choose an amount (fixed denominations from 5 to 100 USD) and complete the checkout. This is a one-time purchase, not a subscription, and works on every plan including Free.
3. The tokens appear as purchased credit next to your included balance. Purchased credit is spent first, before the monthly allowance or the Free bonus, and is valid for 90 days from purchase.

Note

If your plan includes agent-days, or you have bought some, the Billing tab shows a second prepaid balance next to AI credit. That is a separate balance with its own pricing: AI credit pays for AI tokens (chat, plan generation, builds), while agent-days pay for hosted agent execution. Buying one never funds the other, and the expiry rule inverts: purchased agent-days never expire, while the monthly included ones do.

When the balance runs out

AI features stop with a clear “tokens used up” message; nothing else in Onplana is affected, and no charge happens. That includes work AI already produced: risks stay on the register and can still be dismissed or turned into tasks, and plans, reports and pages stay editable.

What you can do next depends on your plan:

• Free: buy AI credit, or move to a paid plan, which includes AI tokens every month.
• Professional and Business: wait for next month’s allowance, buy AI credit to keep going now, or move up a tier for a larger monthly allowance per seat.
• Enterprise: wait for next month’s allowance or buy AI credit. The next step up is Enterprise Plus, which is arranged with us rather than bought in the app, so credit is the self-serve route there.

The message names whichever of those you can act on. Buying is controlled by the same permission as the Billing tab, so if your workspace has not delegated it, the message tells you to ask whoever manages billing rather than offering you a purchase you cannot complete.

Note

There is intentionally no automatic overage billing. Running out is a hard stop, not a surprise invoice, and topping up is always an explicit purchase you make.

Spending guardrails for admins

A monthly cost cap is enforced in the backend, but it is not currently exposed in Organization Settings, so there is no panel to set one today. Your token balance is the guardrail admins can see and manage: watch it in Organization Settings → AI and Storage, and buy prepaid credit when it runs low.

Builds spend the same balance

Building an app with Onplana Maker draws on this same balance: a build costs the tokens it actually uses, so a one-line tweak costs a fraction of a from-scratch app. There is no separate build currency and nothing extra to buy. FAQs

Do unused tokens expire? Depends on where they came from:

• The monthly allowance on paid plans resets each calendar month. Tokens left at the end of a month do not roll over.
• The Free bonus does not expire; it simply depletes as your team uses AI features.
• Purchased credit is valid for 90 days from purchase, and is always spent before your included tokens so nothing goes to waste.
• Earned credit (referral and reward credit in Onplana Maker) never expires.

Who can see usage? Owners and admins see the balance and usage on the Billing tab. Individual members just use the features.

Does every AI feature cost the same? No, costs scale with how much the AI reads and writes. A short chat answer costs little; generating a full project plan or building an app costs more.

Worked example: $20 credit purchase

1. Purchase: $20 buys 3.2 million tokens at the standard rate ($5 adds 800,000). The credit appears on your Billing tab.
2. Validity: purchased credit is valid for 90 days from purchase; unspent credit expires after that.
3. Drain order: purchased credit is spent first, then the monthly allowance (or the Free bonus), so paid-for tokens are never the ones left to expire.
4. What it covers: 3.2M tokens is roughly 3,000 chat questions, about 60 full project-plan generations, or well over a hundred app builds.
5. Buy more any time: purchases stack, and the oldest credit drains first.

Best practices

1. Watch the balance during heavy AI weeks. Plan generation, risk scanning, app builds, and agent activity add up quickly.
2. Set the cost cap to WARN before BLOCK. You get email alerts as usage approaches the cap before anything is hard-stopped.
3. Buy credit ahead of known-heavy periods. A $20-50 top-up comfortably covers a project kickoff with heavy AI planning.
4. Let the monthly allowance carry the steady state. Size your plan for a normal month and use purchased credit for spikes.
5. Check the usage breakdown. The Billing tab shows where the tokens are going, so you can see which feature consumes the most.

Troubleshooting / common pitfalls

• “Tokens used up” message. This is the hard stop, nothing is charged automatically. Buy credit, upgrade, or on a paid plan wait for next month’s allowance.
• Cost cap warning email but nothing blocked. WARN mode emails only. Switch to BLOCK mode if you want a hard limit.
• Purchased credit expired. Purchased credit unused after 90 days is gone; your included tokens and earned credit are unaffected.
• Free bonus already exhausted. The Free bonus is one-time and does not renew monthly. Buy credit, or move to a paid plan for a monthly allowance.
• Monthly allowance used up early. It resets at the start of next month. Buy credit to keep going now, or move up a tier if this happens every month.
