Change your plan or billing cycle

Onplana lets owners change their organization’s plan and billing cycle at any time. The mechanics are deliberately simple, but a few details matter for budgeting: when the change takes effect, what happens to prepaid AI credit, and how mid-cycle proration interacts with refunds.

This article covers every plan-change path, including the Microsoft Marketplace exception.

Three independent changes are possible from Organization Settings → Billing:

  • Plan tier — Free, Starter, Pro, Business, Enterprise. Enterprise Plus is contact-sales only.
  • Billing cycle — Monthly or Annual. The annual price per seat is a 20% discount (the monthly list × 0.8, rounded), so a Pro seat at $12/mo becomes $10/mo when billed annually.
  • Number of paid seats — adjusted automatically when you add or remove members. See Manage seats and guests.

  1. Open Organization Settings → Billing.

  2. Choose the plan you want and the cycle (Monthly or Annual). The page shows the price and the impact summary before you commit.

  3. Confirm. You’re redirected to Stripe Checkout for upgrades, or the change applies in place for downgrades and interval switches.

Onplana grants a one-time AI token bonus when you land on a new paid plan, sized to the plan and your paid-seat count. The grant behaves like this across changes:

  • Upgrade — the higher plan’s onboarding bonus is granted once per (org, plan). Upgrading to Pro grants the Pro bonus the first time; downgrading to Starter and re-upgrading to Pro later does not grant it again.
  • Downgrade — purchased AI credit lots (the ones you bought from the in-app “Buy AI credit” button) always survive. The free onboarding bonus does not re-grant.
  • Monthly ↔ annual switch — no credit change. The grant is plan- shaped, not interval-shaped.

If your subscription was purchased through the Microsoft commercial marketplace, plan changes happen at Microsoft, not in Onplana’s Billing tab. The in-app toggle is disabled for Marketplace subscriptions. To change plan:

  1. Sign in to the Microsoft Admin Center.
  2. Open the onplana subscription under Billing → Your products.
  3. Change the plan ID. A Microsoft webhook tells Onplana the new tier, and the app reflects it within a few seconds.

Cancellation for Marketplace subscriptions also goes through Microsoft, not Stripe. Onplana never charges you directly for a Marketplace subscription, so there is no Stripe Customer Portal to visit.

Do I get refunded for mid-cycle changes? No. Onplana follows Stripe’s standard proration: upgrades credit you proportionally against the next invoice, downgrades wait for the renewal date. There are no cash refunds for plan changes mid-cycle.

Do I lose paid AI credit on a downgrade? No. Purchased credit lots (90-day TTL) follow your organization regardless of plan. Only the plan-specific onboarding bonus is tied to the tier you were on when it was granted.

Can I add seats without upgrading? Yes. Seats are independent of tier — see Manage seats and guests. Adding seats on Stripe is immediate; adding seats on Marketplace requires incrementing the seat quantity in the Microsoft Admin Center.

What if I have stacked subscriptions in Stripe? Onplana auto-reconciles by keeping the newest subscription and cancelling duplicates with a prorated refund. You should not see duplicates in normal flow, but if you do (after a payment retry, for example), the next webhook event will clean it up.

Can I switch from Stripe billing to Marketplace mid-contract? No, not in a single step. The clean path is to cancel the Stripe subscription at the end of the current cycle, then purchase via the Microsoft Marketplace. Onplana keeps your data; only the billing rail changes. Talk to support before you start so the transition is smooth.

  1. Upgrade at the moment you need the feature, not in anticipation. Stripe pro-rates; you only pay for the days you used the tier.
  2. Downgrade at end-of-cycle. No mid-cycle refund. Wait for renewal to avoid paying for a tier you’ve abandoned.
  3. Switch monthly to annual after a quarter on monthly. Lock in the 20% discount only once you’re sure of the tier.
  4. Coordinate Marketplace seats via Microsoft Admin Center. Per the FAQ, Marketplace seat adds aren’t in Onplana; they’re in the Microsoft surface.
  5. Talk to support before rail-switching (Stripe ↔ Marketplace). Per the FAQ, it’s not a single step. Coord to avoid double-billing.
  • Plan change rejected. Owner- only. Admins see the page but can’t change.
  • Annual price displayed wrong. Per CLAUDE.md note 104, annual = monthly × 0.8.
  • Downgrade impact review slow. Large orgs take longer. Wait.
  • Stacked Stripe subscriptions. Per the FAQ, auto-reconciles.
  • Marketplace plan change through Onplana fails. Per the article — Marketplace changes go through Microsoft, not Onplana.
