Join a workspace by invitation

Someone has invited you to their Onplana organization and sent you a link. This article is the invitee’s side of that exchange. If you are the one doing the inviting, see Invite your team instead.

Accept the invitation

Open the invitation email and select the join link.
The invitation page works out whether the invited address already has an Onplana account and shows you one button: Log in to accept if it does, or Create your account and join if it does not.
Complete that step. If you are creating an account, you are setting a password; your email is already known.
You land in the organization that invited you, at the role the inviter chose.

You are shown a single path on purpose. The page used to offer “Log in” and “Create an account” side by side, which asks a question people genuinely cannot answer: someone who signed in with Google eight months ago does not remember having an account, picks the wrong door, and ends up in a detour. The one button is the resolved answer for the address that was actually invited.

If the resolution is wrong for you, the other path is still there. A quiet link below the button reads I already have an account or I would rather create a new account depending on which way it resolved.

Why the email address is locked

During invite signup the email field is filled in and read-only. It is the address the invitation was sent to, and the invitation is bound to that address.

There is a Use a different email link for the rare case where the address is genuinely wrong, but understand the consequence before you use it: signing up with a different email does not join the workspace that invited you. You will get an Onplana account and a fresh personal workspace of your own, and the invitation will still be sitting unaccepted. The page warns you inline if you change it.

If the invitation reached the wrong address, the better fix is to ask the inviter to cancel it and re-send to the address you want to use.

”Why do I have two organizations?”

This is the most common question after joining, and it is not a bug.

If you signed up for Onplana first, at the front door rather than through the invitation link, Onplana correctly created a personal workspace for you. Signing up alone does not join you to someone else’s organization: knowing an invited address is not proof you control it, so the join only happens when you present the invitation itself. Then you clicked the invitation link and joined the second workspace, and now you belong to two.

So the success screen after accepting offers to tidy up. If your own workspace is still untouched, you see Tidy up an empty workspace? with a Remove button next to it.

Removal is a soft delete. The workspace is not shredded, and support can restore it if you change your mind. It is also per workspace and needs an explicit click; nothing is ever removed automatically.

If you would rather keep both, just ignore the offer. Two workspaces are perfectly valid, and you can switch between them from the organization switcher at the top of the sidebar. See Set up your organization for how switching works, including how to pick which one opens when you sign in.

Invited while setting up your own account

If you sign up fresh while an invitation is waiting for you, Onplana shows the invitation first, before any of the usual first-run setup, with the choice to join that workspace instead of creating your own. Accepting drops you straight into the team’s workspace with nothing else to configure.

The pending invitation appears once your email address is verified: with Google or Microsoft sign-in that’s immediate, and with an email-and-password signup it’s right after you confirm your address.

Troubleshooting

The link says the invitation expired. Invitation links are valid for 7 days. Ask the inviter to resend it from the Invitations list on their People page, which issues a fresh link with a new 7 day window.
The link says the invitation is invalid. Either it was cancelled, or it has already been accepted by the account it belongs to. If you think you already joined, sign in and check the organization switcher before asking for a new invitation.
I accepted but I am in the wrong organization. Look at the organization switcher in the sidebar. Accepting adds a membership, it does not remove the others, so the workspace you just joined may not be the one currently open. Select it from the switcher.
I joined at the wrong role. The role is set by the inviter, not by you. Ask an Owner or Admin of that organization to change it on the People page; the change applies immediately.
I removed the wrong workspace. Contact support. The removal is a soft delete, so the workspace and everything in it still exist and can be restored.

FAQs

Do I need an Onplana account before I can be invited? No. If you do not have one, the invitation page takes you straight to account creation with your email already filled in.

Can I choose my own role when I accept? No. The inviter sets the role when they send the invitation. You can see it on the People page once you are in.

I signed up before clicking the link. Did I do it wrong? Not really, it just costs you an extra workspace. Click the invitation link now and accept it; you will end up in the right organization, and the success screen will offer to clean up the empty one.

Does accepting an invitation move my existing projects into that organization? No. Organizations are fully isolated. Accepting adds you as a member of theirs; anything in your own workspace stays exactly where it is.

Can I leave a workspace later? Yes. Open the People page in that organization and use the leave option on your own row. The only case that is blocked is being the last remaining Owner, since that would strand the organization.
