Change your email address

All plansMember

Your email address is how you sign in and where Onplana sends your mail. You change it yourself from Settings, in two steps: you ask for the change, then you confirm it from the new inbox. Nothing about your account changes until you click the confirmation link.

  1. Open Settings and stay on the Profile tab. Your email address is shown read-only, with a Change email button beside it.

  2. Select Change email and enter the New email address.

  3. Prove it is you:

    • If you have a password, enter your Current password.
    • If you signed up with Google or Microsoft and have not set a password, select Email me a code. Onplana sends a one-time code to your current address; enter it under Code from your email.
  4. Select Send confirmation link.

Two emails go out at once:

  • To the new address, a confirmation link.
  • To your current address, a notice that a change was requested, with a one-click link to cancel it. If you did not ask for the change, use that link and the request is gone.

Open the email at the new address and click the link. The page confirms Your email is now the new address, and you use it the next time you sign in.

Until you click, your account keeps its current address for signing in and for all mail. The link lasts 24 hours and works once.

While a change is pending, Settings, Profile says which address it is waiting for and offers two buttons:

  • Resend link sends a fresh confirmation link to the new address. The earlier confirmation link stops working, and the cancel link already sent to your current address keeps working.
  • Cancel change drops the request. Your email stays as it is.

Starting a new change replaces a pending one, and the links from the earlier request stop working.

Your account What happens
Your organization signs you in with single sign-on (SSO), or provisions your account through SCIM Settings says your email is managed by your organization’s sign-in system. Ask your administrator to change it.
A demo workspace persona The sign-in email of a demo persona cannot be changed.
The new address already belongs to another Onplana account The request is refused with Email already in use.
The new address is a disposable or temporary email domain The request is refused. Use a permanent address.

Does anything change while I wait to confirm? No. You sign in with your current address and all mail goes there until you click the link at the new address.

What if the link has expired? Start the change again from Settings, Profile. A link lasts 24 hours.

Someone else asked to change my email. What do I do? Use the cancel link in the notice sent to your current address, then change your password and review your sessions and devices.

I signed up with Google and later set a password. Which proof do I give? Your password. The emailed code is for accounts that have no password.

Can a workspace admin change my email for me? No. Only you can change it, from Settings. If your organization manages sign-in through SSO or SCIM, your administrator changes it in that system.

I can no longer reach my current mailbox. If you have a password, you can still change it here: the password is the proof, and only the notice goes to the old address. If you signed up with Google or Microsoft and have no password, the code goes to the old address, so contact Onplana support.
