A task keeps one assignee, the person accountable for it, and can now have up to 20 collaborators: the other people working on it. They can find the task, hear about it and work on it, and the assignee stays its owner.

  • My Work shows the tasks you collaborate on, each with a Collaborating chip naming who holds it, and a Role filter separates them from the tasks assigned to you. On the List view, the Mine toggle shows both.
  • Collaborators work on the task as their project role allows: change its status, progress and dates, comment, and attach files. Reassigning, moving and deleting it stay with the people who could do those before.
  • They are notified when they are added and when someone comments.
  • Add them from the task itself, under Collaborators, or under More options while creating one. A +N beside the assignee on the List, Board, Sprint, Backlog and Gantt views shows who else is on a task. Work with task collaborators
  • ChatGPT and Claude can manage them too. Ask the agent to add or remove collaborators by name, or to name them as it creates tasks or a whole plan.
  • Imports keep everyone on the task. From a Microsoft Project file, one resource becomes the assignee and the others become collaborators when they are in your workspace; anyone not in it yet is added when they accept an invitation. Professional, Business and Enterprise now include AI tokens every month, per billable seat: 1 million on Professional, 1.5 million on Business and 2.5 million on Enterprise. The allowance resets each calendar month, and unused tokens do not roll over. The Billing tab shows this month’s allowance.

Onplana Schedule shows each resource’s work by month

Onplana Schedule, the free desktop app that opens Microsoft Project files, gained a Resource usage view with version 0.1.27 on 30 September: every resource’s work and actual work by month, week or day, the assignments behind that work beneath it, totals for each line and each period, an asterisk on any number that includes flat-estimated work, and File > Export > Resource usage as CSV…. The weeks before brought Plan > Compare with another version…, which draws an earlier save or a colleague’s copy as each bar’s baseline and lists every change; Plan > Schedule quality, the DCMA 14-point assessment run on your own computer; and Chart as PDF or picture…, which repeats the ID and task name on every page.

In the browser, the online MPP viewer shows the Resource usage view read-only, fills the screen with the plan on request, and carries an Edit in Onplana Schedule button to the download page.
