Do more from any item
Open the ⋯ menu on almost anything in Onplana and you find a block headed Do more. It holds the same few actions everywhere, so you learn them once: copy a link, ask the AI about the item, automate it, and, where it fits, make something new from it. Items without a menu before (issues, risks, milestones and more) now have one.
What every Do more block has
Section titled “What every Do more block has”- Copy link copies a link to the item. It opens the item for anyone who can already see it. It is not a public share link.
- Ask AI about this opens the AI assistant with a question about the item already written, for you to edit and send. If your plan does not include it, it shows with the plan named; if an admin has switched AI off, it is not shown.
- Automate opens the workflow builder with the trigger already set to this item (Pro and above). See Automate from an item’s menu.
Each item shows only to people who can use it. Copy link is on every menu except a document’s and a page’s, which keep their own Copy link next to Share.
Where you find it
Section titled “Where you find it”| Item | Where the menu is |
|---|---|
| Project | The ⋯ button in the project header, the menu on its card on the Projects page, and its row in the Health view |
| Task | The task panel’s menu, a task’s row in the task list and on the Gantt, and its card on the Kanban and sprint boards |
| Issue, risk, milestone, sprint, epic | The menu on the item’s row or card |
| Goal, change request, proposal, idea | The menu on the item’s row or card |
| Client, contact, deal | The menu in Onplana Services |
| Portfolio, whiteboard, page | The menu on the item’s card or row |
| Folder, list, list row, document | The menu on the item in Documents or Lists |
On a project
Section titled “On a project”A project’s menu has the most in it. Below Do more:
- Create new opens a list beside the menu with the things you can
make from this project:
- Import into this project… opens the Import wizard with this project as the destination.
- Collect requests into this project… opens the intake form builder with this project as the target (Pro and above).
- Make a copy makes a new project from this one, see Make a copy of a project.
- Save as Template (Pro and above), see Save and reuse project templates.
- Report on this opens the Report Builder on this project with a filter set (all tasks, overdue tasks, waiting for review, in progress, milestones or risks), the project’s AI status report, or Schedule status report.
- Schedule insights opens the project’s Schedule Quality, Schedule Risk or Finance tab.
- Ask AI about this.
- Add to portfolio adds the project to a portfolio (see below).
- Automate.
- Recently deleted opens the Recycle Bin showing only what was deleted from this project.
Then, below a line:
- Share or export opens a list beside the menu: Share a read-only link…, Export Excel, Export Gantt chart, Export MS Project and Export to Microsoft. The exports work on every plan. See Export a project to Microsoft Project.
- Manage project holds Invite members, Show import details (on an imported project) and Transfer Ownership… (for the project’s owner).
- Archive project, or Unarchive on an archived project, see Complete, close out and archive a project.
- Delete project, last and in red (see below).
When only one item in a list beside the menu applies to you, the menu shows that item directly instead.
On the Projects page
Section titled “On the Projects page”Each project card, and each row of the Health view, has the same menu with the items that make sense from a list: Open in Onplana Tasks first, then Copy link, Create new, Report on this, Schedule insights, Ask AI about this, Add to portfolio and Recently deleted. Open in Onplana Tasks shows on Windows, macOS, iPhone, iPad and Android, and not inside Microsoft Teams. The card’s trash icon still deletes the project.
Add a project to a portfolio
Section titled “Add a project to a portfolio”-
Open the project’s menu, or the menu on its card or Health row on the Projects page.
-
Choose Add to portfolio.
-
Search for the portfolio and pick it. A portfolio the project is already in is listed, but you cannot pick it again.
Portfolios are on Business and above. On a plan without them, the item shows with the plan named. You also need the Create & manage portfolios permission, which the Owner, Admin and Portfolio Manager roles have by default. To add several projects at once, use Select on the Projects page (see Act on several projects at once). More on portfolios: Group projects into portfolios.
Delete a project
Section titled “Delete a project”-
Open the project and its ⋯ menu.
-
Choose Delete project, the last item.
-
Confirm. The project and everything in it go to the Recycle Bin, and you are taken back to the Projects page.
You can restore the project from the Recycle Bin until it is removed for good. Deleting needs the Delete project permission on the project, which the project’s Owner has by default (org Owners and Admins have it too).
On a task, an issue and the rest
Section titled “On a task, an issue and the rest”- A task’s Create new offers File an issue from this task and Log time on this task, and its menu adds Link to a goal.
- An issue’s Create new offers Create a task from this issue and Raise a change request, each linked back to the issue.
- A sprint or a milestone adds Report on this, which opens the matching report on just that sprint or milestone.
Why don’t I see some items? Each item follows the permission or plan of what it does. An item your plan lacks shows with the plan named; an item your role cannot use is not shown. On an archived project, the items that would change its content are not offered.
Is Copy link the same as sharing? No. A copied link only works for people who can already see the item. To share a project’s plan with someone outside, use Share or export, then Share a read-only link….
