Invite the people in your plan

All plansMember

Most Microsoft Project files name their people but carry no email addresses. When you share a plan, Onplana Schedule lists the people in it, asks for the addresses it is missing, and invites them all at once, so the project lands in Onplana with its team.

  1. Press Share on the bar, choose File > Share with people…, or after a publish press Invite a teammate. Sign in first if the app asks; a free account is enough.

  2. Under People in this plan, each work resource is listed by name. Where the file has an address it is filled in. Where it has none, the field reads “No address in the file”: type one, or leave it empty to skip that person.

  3. Beside each person, pick Member or Guest, sees this project only. Member is the default.

  4. Leave Also save these addresses in the file ticked to write the addresses you typed into the plan’s Resource sheet.

  5. Under Anyone else, by email address, add people who are not in the plan, if you like.

  6. Press Invite these people.

If the plan is not in Onplana yet, it is published first, then the invitations go. The dialog then says what happened: invitations sent, people added straight away because they were already in your workspace, or invitations waiting for an Owner or Admin to approve.

  • Skipped people. A row with no address is not sent. The dialog counts them before you press the button (“N without an address will be skipped.”) and in the result.
  • Places used. When your workspace has a member limit, the dialog says “N of M places used.” before you send, counted the way the invitation will be checked. On a Free workspace that can try Pro, it adds “Anyone past the limit gets the Pro trial offer”, with the trial’s length in days.
  • Guest seats. Guest is offered unless the workspace reports no free guest seat left.
  • Who is listed. Only work resources. A material or cost resource is not a person, and an unnamed resource is listed only when it has an address.

The addresses you typed are saved into the Resource sheet as one edit before anything is sent, so Undo takes them all back. They are kept when you save the file. Untick Also save these addresses in the file to send without changing the plan.

  • Share is off while Keep this plan on this machine is on, because it puts the plan in Onplana.
  • To share without inviting anyone, copy a read-only link instead: see Copy a read-only link.
