Share a workspace invite link
An invitation goes to one email address. An invite link is one address you can drop in a team channel, a kickoff email or a chat: anyone who opens it and signs in can join your workspace at the role the link carries, until it expires, runs out of uses or you turn it off.
A workspace has one live link at a time. Making a new one replaces it.
Who can make a link
Section titled “Who can make a link”Owners and Admins, and anyone who holds the Invite & manage org invitations permission (Portfolio Manager and up by default). Guests never can. The link section only appears for people allowed to manage it.
If the Invite link section is not in your members menu even though you can invite people, the feature may not be available to your workspace yet; ask your administrator.
Make a link
Section titled “Make a link”-
Select the members button in the header (the row of avatars, or the people icon on a narrow screen).
-
Find the Invite link section, under any requests waiting for you.
-
Choose who the link brings in: Member or Guest.
-
Choose Expires after: 1 day, 7 days (the default) or 30 days.
-
Optionally set Uses, the number of people who can join with it, from 1 to 1,000. Leave it empty for No limit.
-
Optionally turn on Only @yourdomain so only people with a verified address on your work domain can use it. The option shows only when your own address is on a work domain, and the domain is always yours: consumer mailboxes such as Gmail never qualify.
-
Select Make a link, then Copy.
The section then shows the live link with a summary: Joins as the role, how many times it has been used (or 2 of 10 uses when it has a limit), Expires with its date, and Only @yourdomain when the domain rule is on. You can come back and copy the same link again at any time while it is live.
What a visitor sees
Section titled “What a visitor sees”The link opens a page that reads Join workspace name, with You join as Member (or Guest) and, when the domain rule is on, Only for people with an @yourdomain address. The page shows the workspace’s name and the role, and nothing about its members.
- Signed out: Create an account to join or I already have an account. After signing up or signing in, they come back to the same page.
- Signed in: Join workspace, with the address they are signed in as. Joining switches them straight into your workspace.
- Already a member: selecting Join workspace simply takes them in.
A join can be refused, and the page says why:
| What the visitor reads | Why |
|---|---|
| This invite link was turned off. | Someone turned the link off or made a new one. |
| This invite link has expired. | The expiry passed. |
| This invite link has been used as many times as it allows. | The use limit is reached. |
| This invite link does not work. | The address is incomplete or wrong, or invite links are not available to the workspace. |
| This link is only for people with an @domain address. | They are signed in with an address on another domain. |
| Verify your email address first. | Their account’s email is not verified yet. |
| An admin of this workspace turned off your access. | They were a member whose access was deactivated. A link does not undo that. |
| This workspace has no seats left. | The workspace has reached its member limit. |
For the first three, the page tells them to ask whoever shared the link for a new one. A dead link never shows the workspace’s name.
When the workspace is full
Section titled “When the workspace is full”A link never goes past your plan’s member limit. If a Member link is opened when the workspace has no room, the join is refused with This workspace has no seats left. Ask its owner to add seats, then open the link again., and the use is not counted against the link. Guests inside your plan’s free guest seats do not take a place. See Your member limit.
When a seat needs approval
Section titled “When a seat needs approval”The link stands in for an invitation from the person who made it, judged by what they can do today. On a paid plan, if that person can no longer invite people directly (their role changed, the permission was taken away, or they left the workspace), a join that would add a billable seat becomes an ask instead. A Guest join inside the plan’s free guest seats still goes straight through, and on the Free plan nothing needs approval.
The visitor then reads You asked to join: a seat needs an owner or admin to approve it, and they are notified when you decide. Your Owners and Admins get a notification that the person opened the invite link and asked to join, and the ask appears on People & Teams → Access Requests marked Wants to join. Approving adds them at the link’s role, Member or Guest. Like any access request, an ask nobody answers expires after 14 days. See Request access.
Replace or turn off the link
Section titled “Replace or turn off the link”- New link makes a fresh link with the choices you have set and replaces the live one. The old address stops working at once.
- Turn off asks you to confirm, then stops the link. Anyone who opens it from then on is told it no longer works. People who already joined stay.
Change the role, expiry, use limit or domain rule by choosing them again and selecting New link.
Does the link send any email? No. You share it yourself. When someone joins, your Owners and Admins get the same notice as when an invitation is accepted, naming the person who made the link as the inviter.
Can I see who joined with the link? Each join is recorded in the audit log, and the new person appears in the member list like anyone else. See Read audit logs.
Can a link let someone in at Admin or Portfolio Manager? No. A link offers Member or Guest only. Change someone’s role on People after they join.
Can I limit a link to a domain other than mine? No. Only @yourdomain always uses your own verified work domain.
